Process Mapping

Mapping how work runs from start to finish, finding the bottlenecks and identifying which steps can be automated.

Most of the time lost in companies is invisible; everyone's used to it and nobody brings it up. We map step by step how a task really runs today, and uncover where waiting, repetition and manual work pile up. Then we prepare a new flow showing how the work should run and which steps can be automated.

What's included

  • Flowcharts showing how work runs today
  • An analysis of bottlenecks and time losses
  • A new flow showing how the work should run
  • A list of steps that can be automated
  • An implementation priority list

How we work

  1. Step 12 weeks

    Understanding where you are

We review how your work gets done, which programs you use and where you lose time.

  2. Step 22-3 weeks

    Roadmap

We prepare a plan showing which work will be solved, in what order, by what method and at roughly what cost.

  3. Step 34-24 weeks

    Implementation and training

We set up the new systems, automate repetitive work and prepare your team for the change.

  4. Step 4Ongoing

    Measurement

We measure what the change has gained you, review it every three months and update the plan.

About Process Mapping

Process mapping means making losses visible by drawing out how a task runs from start to finish. For example, whose hands does a quote pass through before it reaches the customer, where does it sit waiting, and how many times is the same information re-entered? Once the answers to these questions are on paper, it's clear what needs fixing without any debate.

First we map how the work really runs today, not how the written procedure says it should. In most companies there's a big gap between the two. We work this out by talking with your team and watching the work where it happens.

Then we look at how much of the total time goes to actual work and how much goes to waiting, approvals, fixing mistakes or searching for information. This comparison always produces surprising results and shows where to start improving.

Finally, we prepare the new flow showing how the work should run, along with a list of steps that can be automated. We deliver it with a priority list showing which change should be made when. If you'd like us to set up the automation too, we can continue with our automation tools service.
